We’re Looking for Team Members!

The Cauldron is looking for volunteer team members to join the running of the foundation. Below, you’ll find a link to a general application form, in which you will find a question asking which areas you’d be interested in and also if you would be interested in interviewing for a board member position or not. Listen to the radio segment below to hear a bit more about us!

What kind of team members are you looking for?

We need help in many areas, including finance, artistic and business strategy, PR, marketing, content and social media, fundraising and funding, event coordination, project management, and production consulting. When you apply, you will be asked not only about your relevant experience but also which of these areas you are interested in (you can select more than one!) You can see a list of tasks each area would entail by selecting the relevant category below.

  • We’re looking for 2 additional people for this area.

    • Weekly accounting

    • Quarterly reports

    • Asset management (strategic)

    • Consult projects on budget during pre-production

    • Regularly consult ongoing projects (suggested frequency: bi-weekly)

    • Find a convenient accounting system

    • Creating/updating a convenient budget template to be used by the production leads

    • Shows to be planned (plays/musicals)

    • Events to be planned

    • Season schedule

    • Coordinating season schedule with other theater companies

    • Recruiting team members

    • Assembling teams for productions

    • Networking events: Planning and participation

    • Run pitching events for shows for the coming season

    • Relationship management

    • PR announcements

    • Press releases

    • Media communications

    • Inviting reviewers

    • Inviting content creators to rehearsals

    • Answering emails and enquiries/ forwarding emails to relevant team members

    • Handles email marketing via Mailchimp

    • Handles google advertising via our free google ad credit

    • Creates paid advertisements for social media and budgets our ad credit

    • Creates and plans organic social media content (instagram, facebook, tiktok)

    • Creates video content

    • Content for radio segments

    • Maintains and updates website with new pages and content

    • Creates and manages events in our booking system, Bookeo

  • Please note that this is one of the roles that currently has the potential of getting paid - anyone who handles a fundraising event will get a small percentage of the amount fundraised (think of it like a commission model).

    • Planning and running online fundraisers

    • Planning and organizing in-person fundraising events

    • Auctions: planning and organising

    • Organising open days / presentation days

    • Organizing cabaret nights for Cauldron volunteers

    • Works with fundraising team to coordinate in person fundraising events

    • In charge of coordinating cabaret performances throughout the year, including a women’s themed cabaret for women’s month, an LGBTQ cabaret for pride month, and the yearly volunteer appreciation cabaret.

    • Take stock of our inventory (costumes, wigs, mics, props, set pieces, tech equipment)

    • Add a page on our website with the list and contact information

    • Post on theatermarkt, our fb and instagram pages, find relevant fb groups etc

    • Handle communication via our contact email (collaborate with the communication team)

    • Handle the rental process (contracts/handing them in/receiving/checking)

    • Potentially get an insurance on certain pieces

  • Please note that this is one of the roles that currently has the potential of getting paid - anyone who successfully brings in donations will get a small percentage of the amount donated (think of it like a commission model).

    • Finding donors/networking events

    • Personal communication with the donors

    • Thinking of activities to attract donors (together with the fundraiser group)

  • Please note that this is one of the roles that currently has the potential of getting paid - anyone who applies for a fund will get a small percentage of the fund if it is granted.

    • Applications for funding for the cauldron itself (to cover operational/admin expenses, pay people who help run the foundation)

    • Applications for funding for shows: coordinating with the production leads. Helping them write, submit and monitor applications for productions/individuals

    • Finding new/temporary funds, competitions

    • Finding and applying for corporate funding

    • Helping finding team/crew members for a production

    • Defining, negotiating and composing (profit-share) contracts

    • Guiding them during pre-production through the following items: assembling the team, creating the production plan, creating budget (to be approved by the financial team), funding application and fundraiser process (together with the funding and fundraiser teams) to ensure the funds before audition are announced.

    • Ensuring that they have all materials needed (rights, theater agreement, space booked for auditions/first rehearsals, audition promotion materials, etc).

    • Regularly checking in and guiding them through the production/performance period

    • Helping them with post-production processes (reports, payments, feedback, retro, etc)

    • Being present at board meetings

    • Organise bi-weekly standups (all teams and the board are invited)

    • Being aware of the task list (per team) and their status

    • Having regular checkups with the teams for status updates and to learn what they need from other teams.

    • Make sure the input needed from other teams is given in time.

    • Alert the board if some teams are behind the schedule/need help.

How does Volunteering for the cauldron benefit me?

  • Of course, involvement in a loving, enthusiastic community, growing your network, and making friends. 

  • Any letters of recommendation or materials for portfolios are happily provided. We work hard to get great content for our shows and events and you would of course be willing to use this content and any data we have for your portfolio, resume, or future job application. 

  • Because we are a stichting, students can intern with us - just let us know what you need to submit to your university for the Cauldron to be an approved internship! 

  • Regardless of student status/ letters of recommendation, volunteering for the Cauldron can offer relevant work experience to add to your resume. Multiple members of the team work in tech and can happily consult on how to turn your volunteer experience into something relevant for your portfolio, whether that be in design, project management, or something else!

  • Volunteering automatically gets you membership into the Cauldron Coven which grants you exclusive benefits - these will be discussed in your interview!

Joining the Board

What does it mean to be a board member?

At the end of the application form, you will be asked if you are interested in being interviewed for a board member position at the Cauldron. Here is an overview of what that means.

The Cauldron is a stichting, or a non profit foundation. A stichting is a Dutch legal entity that pursues a social, idealistic, or societal goal. For example, providing education, organising cultural events, or managing the community centre. In a stichting, board members are not personally liable. The stichting is liable, because it is a legal entity under the law. Stichtingen can own assets and properties, have a bank account and organise activities.

A stichting has no members. It does have a board for its day-to-day operations and decision-making. The board usually consists of a president, secretary, and treasurer. We are actively looking for additional board members to assist with the running of the stichting and decision making.

A stichting is not meant to make a profit. It will often have a cash flow to achieve its goals. Foundations have income and expenses, such as donations, contributions from the founders, collections, inheritances, grants, and funds, which may result in a positive balance. This 'profit' can only be used to achieve the foundation’s goals and may not be distributed among its directors.

This means, and is very important to know, that as a board member you cannot get paid. Board members CAN be reimbursed for travel costs. 

The primary benefit of being a board member is having a say in the foundation’s future. Board members hold the decision making power and for each decision that needs to be made in the board, all board members must vote. Board members also have a lot of influence in regards to what shows are chosen for the coming season, and are encouraged to pitch to the rest of the board new ideas for The Cauldron.

How does the process work for becoming a board member?

After your interview, if you are still interested in being a board member and the team thinks you are a good fit, you will then become a trial board member for three months. During these three months, you would be added to all conversations and meetings and be given decision making power and asked to vote on decisions to be given an idea of what being a board member entails. If, at the end of these three months, you and the cauldron are happy to continue with you as a member of the board, the process will then begin to legally register you as a board member for the Cauldron. 

We are looking for multiple board members to join - the idea would be that we would legally register all new board members at once, so it may take longer than the initial three month trial period for the official registration to go through in case trial board members start at different times. We will be aiming to ensure that we have an odd number of board members so that decisions that need to be made by a vote will never be a tie.
